PPC Monthly Meeting Minutes March 12th, 2008

Committees/Club Policies

 

  • Treasurer Report
    • Did not change much. (Brenda couldn’t make meeting. Knowledge sessions made $30. Find out from Cheryl about knowledge sessions shortages b/c of “no-shows”.
    • $100 to Colleen Rutledge (a local Pony Club trainer with a very ill baby) fund, change to $200
    • $12K in bank with $4K going to a money fund soon
    • 3/16 Silent auction for Colleen Rutledge, so many shows going on that day competing with the fundraiser.
  • Spring Show-Show May 4th.
    • Notify Mike Rubin
    • Order ribbons by beginning of April. Use a water bottle as prize for trail class
    • PR/Flier-Distributed, please post EVERYWHERE!! Folder of emails Elizabeth will email them.
    • SJ-need course designer, Marissa handling.
    • Trail class-Kathleen doing-Outdoor Adventure, theme is camping.  A hay bale, pond-Laurel, snake pit/bugs-Laura, under/over strips (Dee’s), over log, fishing-Kathleen, backing up, ground poles with rain coats, flip the burger-Margaret
    • Workday weekend of show is May 3rd
    • Timers? Need those
    • Community service hours, contact Show teams at MS/HS

  • Field
    • APA practicing at our field-insurance through Bay area for our field-covers everybody. Will be open to regional pony clubs. Open to adults too. Probably Tuesdays at 5 and start possibly the 25th.  Like to keep Saturdays open too.  Starting new club: Sugarloaf Polox Club. Coach John and Dee Cook.  Conditions of field use: Sign hold harmless, copy of Bay area insurance, Mike Rubin’s blessing, charge $5 ring fee. Club will help with mowing.
    • Maintenance:  Kathleen, Lynn and Elizabeth doing a walk through on field. Items to do:  look for nails around new fence; inventory shed; condition of jumps ?; service tractor (Dave will do); when to start mowing; x-country course needs work, widen, farmer use less field, Mike Rubin has been requested this and asked if he is still willing to seed/lime etc; put coups on fenceline; possibly a signout book for equipment that members borrow; inventory café items; buy a gas grill?, motion to buy?; Owen said he would continue to mow our huge trailer parking area; working for pony club is eligible for community service hours, Kathleen renewed. Workday April 5th 9:00.

     

  • Lessons
    • Games-up and running, getting equipment together. Lessons Wed at 4:30 (rising stars/jrs) and

               5:30 (seniors) and Friday at 4:30 as a drop in style.

    • Show Jump-started at 5:45 at Great and Small with Dee Dougherty.  Good lessons, she will be show jump coach.
    • Polox-see “Field”

     

  • Spring Ratings/Preps-4 kids to rate. 6 did prep. May 11 rating day with Fran Ichijo.
  • Monthly Kid’s Meetings
    • Team Names-label kits and make banners-Roberta handling, need date.

     

  • PPC Policies
    • Medical Releases-New procedure, at lessons the coordinator will be responsible for having the releases in an unopened UPS envelope and is to be on site at every lesson. The file is to remain unopened unless needed for an emergency. A master file will be at another location-TBD (Elizabeth’s house maybe?)
    • Insurance Policy-procedure for insuring lesson sites are insured through USPC.  It is up to the coordinator of the event to get insurance ahead of time. See website for details.
  • Next Meeting date-conflicts with games-Meeting held Thursday, April 10th

  • Rating and Standard Clinic at Frying Pan Park-3/22
  • D1-D3 Fall Fun Day 9/14 at Bittersweet hosted by Frederick and PPC
  • Regional Policy Meeting March 18th at Margaret Perry’s house at 6:00pm (dinner included)
