PPC Monthly Meeting Minutes February 19th, 2008

  • Approve January minutes-done
  • Treasurer’s Report-Brenda 
      • Brenda presented an income/expense report dated February 15, 2008. 
      • It is policy to submit receipts within 2 months to receive reimbursements.
      • Diana donated a lot to the banquet.
      • Brenda presented an idea to put $4000 in an interest bearing money market. We can earmark the interest. Unanimous vote passed this idea.
      • Checkbook-Roberta will now be a signer. You need to have another officer as a signer.
  • Lessons
    • Games-Brenda/Julie
      • Hired Amy Knapp to instruct. HA MD region, she teaches the Cones, a major games family who play internationally. She charges $50 hr.  We need to procure a ring. Thoughts were Good News but they need proof insurance. Other options: Owen, Great and Small/Heather Fays/Bascule/Dee Cook’s.
      • Roberta has sacks!
      • Members going to rally: Angela, Colleen, Heather, Emily, Tori, Salome, Emma, Allison, Domi
      • We need to work on fixing the games equipment.
      • Games this year are Bending, Balloon, 5 Flag, Litter, Mug Shuffle, Potato, Sword, Windsor, Canadian, 3-leggedd
    • Dressage-Cheryl
      • Let Cheryl know if you want a dressage lesson on Sundays, she always does it.
    • Show Jumping
      • We need a ring?? (again) We’ll use Dee Doughtery $60/hr, we were very successful with her and the kids like her.  Need to figure out what to pay her for the rally weekend as a coaching fee $300-500, not sure.  She seems flexible on times.
      • Marissa suggested a clinic with Melissa Martell-well received idea.
    • Polox-Dee/Kathleen Dee wants to know what days she can use the ring. Probably Saturday afternoons.  We need waivers in the shed. She will have to call APA lessons for insurance reasons. We’ll let her know soon about the day.
    • Quiz-Roberta
      • March 1st-3 partial teams going. 3 Jr. d’s, 2 jr c’s, 1 Sr. D.  Cheryl is a chaperone b/c of age. The older kids don’t need chaperones.
      • Knowledge sessions Thursday 28th, Jam session with Dee. We are still missing all of PPC’s quiz equipment ie: Jeopardy and posters.
      • We will get together as a kids monthly meeting to do banners with new names and re-label the kits. Kids should be thinking of names.
      • Rally-craft-NO!
  • Fundraising
    • Spring Show-May 4th –Julie
      • Everybody needs to help. We have a committee: Julie, Kathleen, Marissa, Elizabeth, Margaret, Laurel. First thing is a flier for EVERYONE to distribute. Like to put a paid ad in the Equiery.
    • Capital Region Family
      • March 16th Fundraiser horse show for the Rutledge family. Pony club family with hardship with their infant.  There will be a silent auction, what do we donate, cash or an item? Ask Kevin her opinion. Maybe a club donation and something of Kathleen’s. Voted on $200 from club.

  • Rallies
    • D1-D3 Fun Day Rally-Aug. 3
      • Wakefield took June 22nd.  Vote on doing 8/31, seems a go!
  •  Monthly kids meetings
      • Making banners
      • Do an Everything Equestrian night. Bit o Britain too far away, 2 hour drive.
  • Spring ratings-Elizabeth
      • Who wants to rate? Yvette Prep?
  • PPC field-Kathleen
    • Maintenance days
      • Looking for middle of March.
      • There will be a list in the shed and on the website of field duties.
    • X country jumps

    • Spring seeding
      • Do the seeding/liming now! Someone needs to contact Mike Rubin.
  • Volunteer log-Julie
      • A log to keep track of your volunteer hours at the field, shows, camps, etc.  This is not a change in any club policies, but rather a management tool to see where we spend our time and how much time it takes to run the club.
