PPC Monthly Meeting Minutes April 8th, 2008

 

  • Approve March minutes-done
  • Budget-Colleen Rutledge fundraiser full, had to turn people away
  • Lesson Etiquette-Elizabeth-Make sure coaches treated with utmost respect. Take issues up with lesson coordinator. Kids stay on task-help coach out, if see goofing off, step in. want coaches to like club. Games okay.  Get kids input on coaches. Games coach okay. Show jumping harder.
  • Paperwork Completion (Properly!) clubs are instituting fees within their clubs ($5-25 late fees). For region if late or inaccurate, $25
  • Lessons
    • Show Jump
      • Coaches meeting-policy of SJ rally-Requirements to rally: Take 2 lessons before SJ Day, after SJ Day 2 lessons-this is the bare minimum requirement, of course can do more. This is in sync with other club’s policies.  Paperwork is due day after SJ Day.  Dee will meet with kids first, beginning of May, explain everything. Kids need to come to this meeting.
    • Games
      • Teams-coach come to rally, can’t coach so not necessary. Teams full except down one junior.  Have the Honeycutts scrambling, one sr one jr.
      • Armbands-required for regional games, eventing and championships. Region buying for $5 apiece. We’ll order one per member plus some extras, pass along the cost.  Must contain the medical release in them.
      • Team names-pinney colors needed
  • Spring Show
    • Café-need permit, what to do? Laurel had a list of donations needed and distributed.
    • Odds/ends-5/4-7:00 arrival time; Mike Rubin notified, but not responding; portapotty-put up against tree line, smells bad, we might need to pay to have it serviced regularly.
    • Prizes-prize bucket for games, donations accepted; water bottles for trail class-need 6; ribbons for show jump and didn’t need to buy any!
    • Fliers- now is marketing time, please distribute everywhere. Barns: Bascule, Canterbury, Good Choice, Great Small (Elizabeth), Pheasant Hill (Kathleen), Francie Doughtery (Juanita); School equestrian clubs; pony clubs; Dickerson Mkt; Selbys; Pooles, Farm and Home; Boyds Mkt; Poolesville Tack; Farmers Coop; Surrey; Barnesville PO; Library; Calleva (Nick); Wardaca (mail); Potomac Horse Center (mail); Healthworks; put them in your car.
    • Trail class in fenced ring?
    • Get barrels-McCutcheons, ask Nellie
    • Timers-check shed
    • Community service-clubs know
    • Pinneys- talked about using but nixed b/c won’t get them all back and very expensive to replace.
    • Work day-May 3rd, have a list. Getting grass cut a concern, Dee is on board. Work field 3-5 days prior.
    • Service tractor asap
    • Get community service forms
    • Trail class is Outdoor Adventure

     

  • Field Maintenance-Farmers Coop doing a soil test.  Angela taking to them. $10 for 2 acres.
    • Work done, work to be done-a lot done.  Xcountry-D2D3 around left side and in polox pitch. D3 to C1 to right, clip some branches, spray for bees, cut some logs. A bad jump, need to get rid of, too dangerous. Need to put a pole up against one, move some coops. Rating is May 11th.

  • Rallies coming up-Games May 18th; Qualifying 6/14-15; SJ 6/27-29; 4.28 NQ eventing; SJ/Dressage Day 6/8; Fun Day 9/14, Bittersweet D1-D3. Need committee chair. No HM. Walk it in June get a feel for what to do.
  • Summer camp-Frederick camp-7/6-7/11 D Camp; 7/14-19 C1-C2 open to region. Great camp.
  • Monthly meeting-kits-think of names
  • Fundraising
  • Website-fantastic. Elizabeth done a great job, updated, informative, user friendly, colorful, please use it.
  • Polox in fall-the rally? Practice?
